Book Multi-Person Travel Using Stanford Booking Channels

Occasionally, multiple travelers (up to 10 people) may want to book a trip together via the Stanford Travel booking channels. For example, family members may accompany those traveling on Stanford university-sponsored business, or colleagues may want to travel together. This article describes how to book travel for small groups using the Stanford Travel booking channels.

Groups of 10 or more (traveling to the same destination) are not required to book via the Stanford Travel booking channels. If you would like guidance on how to book your group travel, please submit the Group or Program Travel Request form.

Book Multi-Person Travel Using Stanford Booking Channels

The Stanford booking channels are,

Key Travel is an option for multi-person travel. Their full service travel agents can book up to nine travelers on the same airline reservation. Their online booking tool also supports booking up to four travelers on the same airline reservation. Key Travel is the preferred solution for those traveling with companions or family, specifically with children or infants. Booking together will limit the risk of being seated separately on the aircraft or being separated in the event of any flight disruptions, and can extend applicable loyalty benefits, such as preferred seating and priority boarding, to accompanying travelers. Egencia is an option if those traveling:

  • Are all adults, and
  • Do not need to be booked together on a single record

The Egencia online booking tool is not configured for multiple travelers to be booked together on the same reservation. With separate reservations, the group may be separated in the event of any flight disruption. Children in the group who are under the age of 14 and booked on a flight without an adult, will be flagged by the airline as an unaccompanied minor.

Only the Mileage Plus account holder can book travel with United Corporate Direct (UCD). Additional travelers must be booked separately. If not traveling on university-sponsored business you can book up to 8 additional travelers via the "Break from Business" Personal Travel booking path with United Corporate Direct (UCD).
