A new eReceipts app developed by Stanford Financial Management Services, in partnership with University IT, will allow users to upload and share images of receipts from their mobile device. Developed in response to user feedback, the app helps users manage business and travel expense receipts required for Expense Requests System (ERS) transactions  or Purchasing Card (PCard) verifications more efficiently. This app offers an alternative to the existing method of attaching receipts from the preparer’s computer.

The eReceipts app is currently in the pilot phase. After the pilot concludes, Financial Management Services (FMS) will promote eReceipts widely across the university this spring.

eReceipts allows Stanford travelers or PCard cardholders to take a picture of a receipt with their mobile device, upload it, tag it with expense type, add comments if needed, and send it to themselves or to a transaction preparer for upload to Oracle Financials. App users can also see receipts that they have uploaded or shared with others within the app, along with processed and deleted receipts. The eReceipts app can save time for anyone who uploads receipts for processing within the Expense Requests or PCard systems in Oracle Financials.

As a reminder, this application does not replace paper receipt retention requirements that may be in place for your department.

If you have any questions about eReceipts, please click the Support Request button within the app at the bottom of the screen.

Transaction preparers and verifiers will receive an email notification when receipts have been shared with them. Uploaded receipts can be viewed in the Resources section of the Expense Requests home page or the PCard home page.

Before eReceipts launches in March, receipt uploaders and their preparers should discuss how eReceipts might improve their current process of managing receipts. Detailed instructions on how to use the app will be available on Fingate before the rollout date. After it launches in March, the eReceipts app will be accessible through a tile on the Stanford Mobile app, and receipts uploaded through eReceipts will be accessible within the Expense Requests and PCard systems.
