Some changes to PTA attributes may require a corresponding update in Authority Manager to re-grant proper authorities. Use this resource to understand the potential impact on authority and financial systems and reporting when owning organization and project, task or award manager and owner attributes are changed.

Changes to owning organizations will not auto-revoke authority in Authority Manager.

Here are some things to consider when changing a project's owning organization or principal owner attributes:

  • If authority was granted based on the owning organization or principal owner (within an owning organization), then authority may need to be re-granted in Authority Manager.
  • If authority was granted based on project, project task or award, authority will not be affected and no re-granting is necessary.
Authority Impact Based on Type of Grant
Type of PTA Attribute Change Organization Principal Owner
(within Owning Org)
Project, Project Task or Award
PTA Attribute changes to project, task or award owner (non-sponsored only)  No impact Authority may need to be regranted  No impact
PTA Attribute changes to project, task or award manager  No impact  No impact  No impact
PTA Attribute changes to owning organization Authority may need to be regranted Authority may need to be regranted  No impact

In addition, refer to:

Changes to project, task or award owner attributes affect access to certain financial data and financial reports. For example, faculty set up as the principal owner for a project, task, and/or award, are automatically granted access to the Faculty Financial Inquiry Tool (FFIT) and no further authority grant is needed.

Timing of Updates on Systems and Reports

Changes to PTA Owner attributes occur immediately in Oracle. However, users will not see the changes reflected in all systems immediately because of varied timing of data-refresh schedules.

Below is a table summarizing when PTA Owner attribute changes are reflected in various systems and reporting tools:

Affected Systems and Reports When Owner Attribute Changes Are Reflected
Commitment Management System (CMS) Overnight
FFIT Overnight
Oracle Business Intelligence (OBI) Reports Overnight
OBI Reports labeled “Real-time” Immediately
