Egencia Savings Finder

Travel pricing discrepancies are typically due to the constant fluctuation of airfare and hotel rates. With Egencia's Savings Finder technology, Stanford can save an average of 14% on flights and 7% on hotel bookings that are optimized via machine learning.

For 24 hours after an airline ticket has been booked in Egencia, Savings Finder for Air will continually monitor airfares for additional savings. If a lower airfare (providing savings greater  than $70) is found, Egencia will  automatically rebook the ticket at the lower fare for the same flight on the same date.

As soon as the airline ticket has been reissued, the traveler (and designated travel arranger) will receive a notification of the new fare and ticket number. The itinerary number and record locator remain the same. No action is required from the traveler or travel arranger.

The applicable Egencia fee - based on the savings amount - will be charged to the credit card used for the original ticket at time of reissue. The Egencia fees are allowable and reimbursable.

The ticket reissue may incur multiple line items, depending on whether the original transaction is voided prior to the credit card transaction. For example:

Original ticket charge: $500
Original Egencia fee (if agent assisted): $28
Original ticket credit: -$500
New ticket amount: $400
Egencia Savings Finder fee: $50

Egencia monitors hotel bookings for price drops and will capture the savings with Hotel Savings Finder. If a lower rate is detected, the reservation will be automatically rebooked at the lower rate. The bed type, amenities, rate conditions, and dates will remain the same. However, the hotel confirmation number may change. If the traveler made any special requests directly with the hotel, FMS recommends contacting the hotel to re-confirm.

The traveler (and designated travel arranger) will receive an email confirmation if the reservation has been rebooked by the Hotel Savings Finder tool. If a traveler or travel arranger has made arrangements directly with the hotel to pay with a credit card that will not be present upon check-in (excluding pay online rates), then they will need to submit an updated payment authorization (i.e. credit card authorization form) with the new reservation confirmation.

The applicable Egencia fee - based on the savings amount - will be charged to the credit card on file on the morning of check-out. The Egencia fees are allowable and reimbursable.
