Egencia’s new Guest Registration Template Feature is Now Available to All Campus Users |
In August 2023, Egencia launched a new Guest Registration Template feature to enhance the guest booking process. |

As of January 2024, all legacy "Guest of" profiles have been deactivated, and all guest travel must now be booked using the Guest Registration Template process.
The new Egencia guest booking process eases the administrative burden of guest travel arrangers by enabling their guest travelers to create their own travel profiles and make their own travel arrangements. Guest travel arrangers who manage travel on behalf of the guest can do so with a simple one-time profile creation.

Updated Fingate Page Guides Travelers and Travel Arrangers Through the Planning and Booking Process |
The Travel Process Topic Overview, now renamed Planning and Booking Travel, has been rewritten and redesigned to become a helpful starting point for travelers and travel arrangers who need to book university-sponsored travel. |
| |
Topic Overview: Planning and Booking Travel now includes guidance on planning ahead for a safer, simpler trip; booking policies and considerations; preparing for the trip; and requesting reimbursement or clearing expenses after travel. The revised page includes separate sections for travelers employed by Stanford, travelers not employed by Stanford (domestic and international visitors), and groups and multiple travelers. The page also provides guidance on adding personal travel to a university-sponsored trip, and describes discounts offered by several Stanford Travel booking channels for solely personal travel. |
In Case You Missed It |
Guidance on booking and reimbursement for home-share lodging has been added to the Lodging Policy page. Although not encouraged, lodging available through home-sharing companies (such as Airbnb or Vrbo) is an allowed option for travelers and reimbursable if they follow the hotel and lodging rate maximums and university policies.
The 2024 Stanford Travel Desk Guide is published, covering booking channel options and benefits, planning and booking travel, and adding personal travel to a university-sponsored trip.
