Perks and Prizes from Stanford

Stanford Travel promotions are back! From now through December 15, travelers who book flights through the Stanford Travel booking channels and include their loyalty membership numbers (i.e. frequent flyer numbers) can win prizes such as United Airlines (UA) Club passes or a weekend stay at the Park James Hotel in Menlo Park. Three lucky winners from the School of Engineering and the School of Medicine were selected during randomized drawings in September and October.
From now through December 31, Southwest Airlines is also offering Rapid Rewards members A-list status for 90 days. Learn more on the Stanford Travel Updates and Hot Topics page.

Car Rental Guidance for Young Adult Drivers and Guests

Car rentals for university-sponsored travel are available for faculty, staff, and students, including young adults and guests.

Enterprise Rent-a-Car offers special or discounted rates on car rentals, including:

  • Waived youthful driver surcharges for renters 21-24 years old who book through Egencia or FMC
  • Discounted rentals for students ages 18-20 (at the Enterprise Palo Alto location only)
  • A process that allows guests to reserve rentals without using their personal credit cards through Egencia

Groups, Programs and Multiple Travelers


Occasionally, multiple travelers may want to book a trip together via the Stanford Travel booking channels. For example, family members may accompany those traveling for Stanford on university-sponsored business (as personal travel), or colleagues may want to travel together.
Program administrators may also need to book and pay for multiple travelers from various departments for a particular trip or event series, or for groups of 10 or more travelers to the same destination.

Travel Booking Policy Update


Effective immediately, travelers have the option to book their hotel outside of the Stanford Travel program but must use the itinerary-forwarding service for those bookings to send itineraries to InternationalSOS.
Since booking a hotel through the Stanford Travel program offers benefits such as automatic forwarding and updating of itineraries, administrative efficiencies, and access to Stanford discounts, this remains the preferred option wherever possible.

Additionally, travelers are no longer required to reserve rental cars through the Stanford Travel program for university-sponsored travel.

New Customer Service Dashboard for Flight Cancellations and Delays


To make airline travel easier as flight disruptions continue, the US Department of Transportation released a new Airline Customer Service Dashboard. The dashboard summarizes the services offered by U.S. airlines if your flight is canceled or delayed for circumstances within the airline’s control.
