Safe Travels


If you travel or book travel for Stanford, be sure to visit the Health Alerts for Stanford Travelers webpage for the latest information on travel restrictions and exceptions. Currently, non-essential university-sponsored travel is suspended through January 4, 2021. To stay updated on COVID-19 at Stanford, subscribe to email alerts on the Health Alerts site.
The good news is that the Stanford Travel team and our travel partners can help you plan safer, less stressful trips in 2021 that meet Stanford’s travel guidelines. Faculty, staff and students who are starting to think about upcoming university-sponsored travel plans should review the new university-sponsored travel booking policy to ensure travel is booked appropriately and can be paid and reimbursed by the university.

Safety Resources from our Travel Partners


While the Health Alerts for Stanford Travelers webpage is the first place to check for travel restrictions, the Egencia Travel Advisor tool is also a great resource.
Use the Travel Advisor tool to learn about COVID policies, travel restrictions, and visa and health document requirements at your travel destination. The page uses government websites, the World Health Organization, and other sources to provide updated information for domestic and international travel.

The FCM company Casto, which helps plan complex trips for Stanford, offers online travel safety information. Create a Casto Travel profile to access the FCM hub and their Traveler Resources Hub for COVID-19 news, alerts, checklists, FAQs, and more.

Airline Programs Protect Traveler Health


All the major U.S. airlines have created programs to protect passenger health when traveling. These measures include touchless check-ins and social distancing markers at the airport, enhanced cleaning at the airports and on the planes, face covering requirements for passengers, and widespread access to hand sanitizer.

Airlines Removing Change Fees


It’s now easier to change your airline tickets if needed: all the major airlines have eliminated change fees for most ticket types.
Keep in mind that the elimination of fees doesn’t mean the tickets can be refunded. Tickets for university-sponsored travel that are purchased in the appropriate class of fare are typically non-refundable.

If you are unable to travel on the date you booked, you must wait until the ticket is used, transferred or expired to submit a reimbursement request. That’s why it’s smart to use the Travel Card (TCard) instead of carrying the expense on your personal credit card when you book your university-sponsored travel.

Upcoming Stanford Travel Events


If you’re planning university-sponsored travel next year, join the travel team for a special Office Hour on November 11. The team will provide an overview of the Stanford Travel booking channels, answer questions from the audience, and give away a United Airlines ticket (restrictions apply). Visit the Travel Events page on Fingate to learn more, submit a question in advance, or add the Office Hour to your calendar.
In early 2021, the Stanford Travel team will host its annual Travel Forum virtually, which will cover travel topics in depth. Details will be posted on the Travel Events page on Fingate.
