This page provides information for shipping goods from Stanford University. When shipping internationally, export control regulations may apply. Departments can select and generate shipping labels with their preferred carriers (e.g., UPS, FedEX, DHL, and USPS). Departments can contact their building administrator for shipping materials and other questions.
Please note: It is important to declare the value of the goods that are being shipped in the insurance section of the shipping carrier’s paperwork. Stanford is not responsible for the replacement costs or the difference between the cost of replacement and the value declared.
Payment methods
Stanford recommends, but does not require, using the FedEx at Stanford program because of the payment and billing efficiency gains. The Stanford Purchasing Card (PCard) can also be used to pay for business-related shipping services with carriers that are not FedEx. Though not recommended, faculty or staff can pay for business-related shipping services with personal funds and can be reimbursed by Stanford.
Financial Management Services provides the FedEx at Stanford option to provide the university with quick and easy online preparation of document and commodity shipments (both domestic and international), accurate accounting for shipping expenditures, and automatic invoice processing through PTA-associated FedEx.com accounts at discounted pricing.
The FedEx at Stanford program also provides:
- Easy comparison of shipping option rates, online address book maintenance, advance preparation of return-to-sender airbill, and ability to email a prepaid airbill link.
- Free packaging supplies. The user’s FedEx account number will pre-populate when ordering free supplies, but is only used to validate the account and no charges will be made to any of the associated PTAs.
- Direct billing to a PTA or an option to select from a specified list of PTAs.
- Inclusion of shipment expenditures on the monthly Expenditure Statement.
How to use the FedEx at Stanford program Account
- Request an account by accessing the FedEx Account Management Application. All active employees may:
- Request creation or removal of a FedEx.com account.
- Add PTA(s) to or remove PTA(s) from an existing account.
- Within three (3) business days, requests for all new FedEx.com accounts, PTA changes, and account removals will be processed. A system-generated email will be sent to the requestor when the request has been processed. New account requesters will be emailed a Stanford login and password for use on the FedEx.com website.
- Ship goods by logging into the FedEx.com website using the Stanford login and password that was originally emailed to the requester. Please note: When logging in, do not select the option to use an email address as the User ID as that will result in the account becoming inaccessible.
