Request Rush and Will Call Payments

This page provides instructions for requesting rush and will call payments for purchase order invoices and Expense Requests transactions.

Request Rush and Will Call For Purchase Order Invoice Payments

A rush or will call payment can be requested when the department would like to expedite the payment to a supplier made on a Standard Requisition. A $35 payment handling fee will be charged. For more detailed instructions, see How to: Upload an Invoice.

  1. Go to ofweb.stanford.edu and launch Requisition and Purchase Order Query from the SU Inquiry Tools folder
  2. Search for your Purchase Order Number
  3. Scroll to the bottom of the PO Details screen and select Upload an Invoice for Payment Processing in the Status of Uploaded Invoices Associated with this PO section
  4. From the pop-up window, select Choose File or Browser
  5. Locate and attach the invoice file

  1. Select Rush or Redwood City Will Call (After selecting, a new section will appear Enter PTA for Payment Handling Fees)
    By selecting Will Call, payment will automatically receive Rush processing. Individuals with a default payment method of automatic deposit, may not select Will Call.
  2. Enter a non-sponsored PTA in Enter PTA for Payment Handling Fees
    1. Each section of the PTA must be validated. (Can only enter non-sponsored PTAs)
      - Rush, Wire and Will Call Fees must be charged to a non-sponsored PTA (Award cannot begin with P, Q, R, S, T, U, V, W).
       
  3. Select Upload to confirm the upload
What Happens Next?
  •  Payment Operations will process the payment request within one to three business days (assuming the payee setup is complete and payment terms have been met). For more information, refer to Resource: Payment Handling Methods and Processing Times.
  • When the Will Call check is ready, a “Will Call Check Notification” email will be sent to the person who uploaded the Will Call Invoice. The “Will Call Check Notification” email provides information and instructions about each of the three delivery options for the check:
    • Overnight delivery via FedEx, which is a preferred option because tracking services are included. The notification will provide a form to upload the FedEx shipping label (pdf format).
      • Use this address or your own Stanford address for origination on the FedEx label:
        Stanford University, Redwood City
        485 Broadway,
        Redwood City, CA 94063
    • Delivery via Standard USPS (United States Postal Service), which does not include tracking. The notification will provide a form to input the designated delivery address for the check(s).
    • Pick up at the Stanford Redwood City campus by scheduling an appointment with the Appointment Scheduler tool (bring a copy of the email notification and a picture ID, and check parking and visitor registration requirements before arriving). 

Please submit a support request to the Financial Support Center for any needed assistance, or if the Will Call notification has not been received within five business days of the transaction being fully approved and processed.

Request Rush and Will Call For Expense Requests Payments

A rush payment or will call can be requested when the department would like to expedite a payment initiated in the Expense Requests system. A $35 payment handling fee will be charged.

  1. Go to ofweb.stanford.edu and launch Expense Requests
  2. Select appropriate Transaction Type and Category

If Will Call processing is desired, the Rush Processing option must be selected.

  1. Select Yes in the Rush Processing drop-down menu
  2. Select preferred Payment Method from the drop-down The payment method is auto-filled based upon what the Stanford payee has setup (electronic or check) with Payroll.
  3. For Will Call processing, choose Check Delivery Option and select Redwood City Will Call option.  Individuals with a default payment method of automatic deposit, may not select the Will Call option.

  1. After entering all expense lines in Transaction Lines page and entering the Allocations for the expenses, designate the PTA to charge Rush Processing fees on the Allocations and Approvers screen. A $35 fee will apply to Rush, Redwood City Will Call or Wire payment handling methods. The handling fee must be charged to a non-sponsored PTA (award cannot begin with P, Q, R,S, T, U, V, W. Check with the PTA approver or the department financial analyst if needed.

  1. Attach receipts/backup documentation
  2. Review and submit transaction
