Stanford employees who work remotely outside California must report a temporary tax location for the days they work in California.
Stanford employees use the Time Card module in Sequoia to report the days they work in California. This allows for applicable state tax to be automatically withheld as salary is paid.
The temporary tax location may be entered for the current pay period only. If an adjustment is required for a prior period, submit a Support Request for assistance.
Enter Temporary Tax Location for for Remote Employees Working Temporarily in California
Before You Start
This content is relevant for Stanford employees who normally work outside of California.
- Go to Sequoia
- Select Sign in with SUNet ID (Single Sign On)
- Enter SUNet ID and password, if prompted
- In the Me tab, select the Time and Absences tile
- Select the Current Time Card tile
- In the Time Type field, choose Temporary Tax Location
- Select Show Additional Attributes in the Time Card. This option is located near the top left of the page
- In the State field that appears, enter CA for California
- Enter the hours worked in California
Only time worked in California should be documented under the CA tax jurisdiction. As with leave time, report hours in full-day or half-day increments.
- Select Save
- Select Submit
- In the Assignment Number field, enter your assignment number
For employees with multiple hourly assignments, the department automatically populates in the Dept field after the assignment is selected.
- In the Time Type field, choose Temporary Tax Location
- Select Show Additional Attributes in the Time Card. This option is located near the top left of the page
- In the State field that appears, enter CA for California
- Enter the hours worked in California. Include the actual start and stop times, including meal periods
- Select Save
- Select Submit
As instructed by your manager, some employees record their time to different accounts or PTAs. The PTAs appropriate for your job are available from the PTA drop-down menu.
- In the Time Type field, choose Temporary Tax Location
- Select Show Additional Attributes in the Time Card. This option is located near the top left of the page
- In the State field that appears, enter CA for California
- Enter your hours by adding a row for Regular Percent and a row for Temporary Tax Location
Only time worked in California should be documented under the CA tax jurisdiction. As with leave time, report hours in full-day or half-day increments.
- Select Save
- Select Submit
- In the Attestation panel, select Accept to acknowledge that the time entered on your Time Card is accurate
- Select Submit and Close
- In the Time Type field, enter Regular Percent, and SLAC PA
- Enter the applicable SLAC PA
- Select Show Additional Attributes in the Time Card. This option is located near the top left of the page
- In the State field that appears, enter CA for California
- Enter your hours
Only time worked in California should be documented under the CA tax jurisdiction.
- Select Save
- Select Submit
- In the Attestation panel, select Accept to acknowledge that the time entered on your Time Card is accurate
- Select Submit and Close
Upon submission, the Time Card is routed to the employee’s manager for approval. Once approved, applicable California taxes are deducted from the next regular paycheck.
