Delegate Approval Authority for Axess Timecard

When time and leave administrators and supervisors are absent, they can delegate authority to responsible staff members to approve timecards using Axess Timecard. The absent supervisor or administrator will still have access to employees time cards.

Delegate Axess Timecard Approval Authority

  • You will need a SUNet ID and password to log in to Axess.
  • Delegates, especially those who do not typically have authority to review and approve timecards, should be advised of the scope of their responsibilities and directed to System: Axess Timecard, if needed.

  1. Go to axess.stanford.edu
  2. Select Login
  3. Enter your SUNet ID and password
  4. Select Employee Center tab (default tab for most employees)
  5. Select Review and Approve Timecards (in Timecard Info section)
    • Axess Timecard performs a brief search and a list of direct reports displays. A blank screen is normal during the search.

  1. Scroll to bottom of page
  2. Select Delegate Authority
  3. In the Empl ID field, enter the Employee ID Number of the employee to whom you wish to delegate authority
    1. If needed, select the Lookup icon next to the Empl ID field
    2. You can search for employees by name by selecting Advanced Lookup
    3. Enter the last name and first name of the employee
    4. Select Lookup
    5. Select the employee’s name from the Search Results

  1. Enter the date the delegate will start in the From Date field 
    • The date defaults to today’s date
    • You may leave this date or enter a future date

      You cannot back date delegations.

  2. Enter the date the delegate will finish in the To Date field 
    • This date should be the last day of a pay period
    • The delegate will be able to access timecards through the approval deadline for that pay period
  3. Select OK to save your entry
  4. To delegate authority to multiple employees, select the + button and repeat Steps 2 and 3 
What Happens Next?
  1. Your delegate will have access to timecards approximately 30 minutes after you complete your delegation (if today’s date was selected).
  2. Delegated authority will remain in place until the date in the To Date field of the delegation. 
    • You may log in to change the To Date field at any time.

View Delegated Axess Timecard Approval Authority

  • You will need a SUNet ID and password to log in to Axess.
  • Delegates, especially those who do not typically have authority to review and approve timecards, should be advised of the scope of their responsibilities and directed to System: Axess Timecard, if needed.

  1. Go to axess.stanford.edu
  2. Select Login
  3. Enter your SUNet ID and password
  4. Select Employee Center tab (default tab for most employees)
  5. Select Review and Approve Timecards (in Timecard Info section)
    • Axess Timecard performs a brief search and a list of direct reports displays. A blank screen is normal during the search.

  1. Select the Lookup icon next to Available Delegations field to view delegation(s) granted to you
  2. Select appropriate delegation from list
  3. Select Get Employees to view your delegated list of employees

    You have full access to act as timecard supervisor or administrator for the listed employees

  4. To search for a specific employee, enter the Employee ID Number in the Empl ID field
  5. Select Get Employees 
    1. You can limit your search results by employee type, by entering a paygroup in the North American Paygroup field. For example, entering EX1 will return a list of exempt employees
    2. To return to your list of employees, if any, remove the delegate’s name from the Available Delegations field and select Get Employees
What Happens Next?
  1. Your delegate will have access to timecards approximately 30 minutes after you complete your delegation (if today’s date was selected).
  2. Delegated authority will remain in place until the date in the To Date field of the delegation. 
    • You may log in to change the To Date field at any time.
