Major Travel Policy Changes Announced in June and July


This summer, Stanford made substantial changes to its policy on university-sponsored travel in response to the COVID-19 pandemic. These changes impact faculty, staff and student travel when it involves the use of university funding.
The Update on Stanford travel policy, first published on June 15, was revised on July 31 to further suspend all university-sponsored travel until at least January 4, 2021, with minimal exceptions. As Stanford moves through the phases of recovery from COVID-19, travel restrictions may continue to be changed or updated. These changes will be posted on the Health Alerts For Stanford Travelers webpage.

The New University Travel Policy
Effective June 15, 2020, university funds may only be used to purchase or reimburse new university-sponsored travel expenses when booked through one of the Stanford Travel booking channels. This policy applies to faculty, staff and students using university funds for airfare, hotel, and/or car rental expenses.

Financial Management Services will work to raise awareness and provide assistance to schools and units to implement the new policy. Follow the Stanford Travel Slack channel to get real-time updates and access to new and updated resources and training to support the new policy.

New Fingate Site Arriving Soon


The Stanford Travel program and business and travel expense webpages will be much easier to use later this summer when the Fingate team completes the first major redesign of the site since its launch in 2007.
The team has improved Fingate’s organization and search capabilities and ensured that the site is easily accessible from mobile devices, with a planned launch date of August 31, 2020.

The redesigned site provides streamlined navigation by financial topics, new search options including content type filters (such as Policy, How-to or Resources) and a log of your most recently viewed pages. These features were tested and refined in five user studies across 17 business units to ensure a positive user experience.
