What changed

Effective Jan. 15, 2026, Stanford University transitioned its Accounts Payable (AP) P.O. Box to a physical mailing address. The AP mailing address receives mailed physical paper invoices from suppliers and certain refund check payments.

To support this change, starting March 2, 2026:

  • Stanford Purchase Orders (PO) will only display the AP email address for most efficient processing. When mailing invoices is required, suppliers will be directed to Fingate for the new mailing address in the Stanford Purchase Order’s PO Instructions section. SmartMart Catalog Suppliers and Amazon Business invoices will continue to be sent electronically to AP for payment processing.
  • Expense Requests system (ERS) will show the new address on the warning message that displays when personal expenses exceed reimbursement amounts, requiring the individual to return funds to Stanford.
  • All physical checks issued by Stanford will use the new address as the return address for any undeliverable checks.
