The eReceipts tool, developed by Stanford Financial Management Services (FMS) in partnership with University IT, helps users more efficiently manage business and travel expense receipts for Expense Requests System (ERS) and Purchasing Card (PCard) transactions. Accessible both through the Stanford Mobile app in the ‘for faculty and staff section’ and through Oracle Financials, eReceipts lets users quickly upload and share receipts and other documentation (e.g., conference agendas) in multiple formats (e.g., photos, PDFs, documents, etc.).

Improving the eReceipts user experience 

Since its launch in 2022, regular enhancements of eReceipts have aimed at simplification and improved user experience. The latest set of updates, going live in mid-November 2025, will speed up the process to submit and view receipts and other documentation for ERS and PCard transactions through this mobile-friendly tool.

  • Simplified fields: Some fields will be removed and others renamed to simplify the data required for submissions.
  • New fields: Fields are being added to provide the user visibility into the status of the transaction through the app.
  • Sorting & filtering columns: Users will be able to now sort and filter table columns, making it more convenient to prioritize the information most important to them.
  • Improved guidance: Relevant details will be added to instructional text and error messages to clarify actions for users.
  • Oracle shortcut: A shortcut will be added to Oracle’s SU Inquiry Tools and Forms menu to make it easier for users to access eReceipts. 

What's next?

The eReceipts team is collaborating with students in a School of Engineering computer science course (CS 247S: Service Design) for Fall 2025 as they apply design thinking methodologies to develop actionable recommendations for enhancements to the eReceipts tool.
