The Stanford Mobile Approvals app, launched this past February by University IT (UIT), offers approvers the option to review and approve specific transactions on iOS and Android devices. The app integrates with the Oracle Workflow Notifications web interface, featuring secure access, real-time alerts, delegated or FYI transactions, approval history, and supporting documentation.

The app features:

  • Documentation: The app includes the same content, backup documentation, and current controls that users currently need to review transactions in the web interface.
  • User friendly design: Optimized for both Android and iOS devices, ensuring a consistent and user experience across various mobile platforms.
  • Authentication and authorization: Robust security measures, including authentication and authorization mechanisms, to ensure only authorized users can access and approve the transactions.
  • Push notifications: Real-time notifications to alert users of pending approvals, enabling prompt action and reducing approval delays.

Coming on November 17, PCard approvers will have an additional method of approving transactions. They can continue to approve PCard transactions in the web application interface through OFWeb or through Stanford Mobile Approvals with their smartphone. This change will result in an updated home page for all app users.

This addition to the Stanford Mobile Approvals app comes along with enhancements to the PCard module. PCard approvers will notice the following new features when approving transactions:

Starting July 14, the Stanford Mobile Approvals app will also display purchase order (PO) PTA change request transactions submitted through the self service Requisition and Purchase Orders query tool.

Approvers can now use the app to review and approve all PO related transactions, which include:

  • Self-service PO PTA change requests. As a reminder, approval is required for PTA changes on POs with a remaining commitment above $1,000. For POs under $1,000, approvers can be optionally added.
  • iProcurement purchase requisitions generated from Amazon Business, SmartMart Catalog Suppliers, SmartMart Contracts, and Non-Catalog Requests (including non-catalog change orders such as to add funds or certain PTA change requests not eligible for self-service initiation). These transactions have been available in the app since it originally launched earlier this year.

After a successful pilot phase, the Stanford Mobile Approvals app is now available for iProcurement purchase requisition approvals. Enabling mobile approval as an additional option to using the Oracle Workflow Notifications web application interface can accelerate purchase request processing for departments.

Key features include:

  • Easy Access: Quickly view and manage pending Oracle Financials purchase requisitions.
  • Secure Authentication: Ensure secure access with multi-factor authentication.
  • Real-time Notifications: Stay informed with instant push notifications about new workflow requests.
  • Detailed Request Information: Access detailed information about each requisition to make informed decisions.
  • User-friendly Interface: Navigate with ease using the app’s intuitive design in both landscape and portrait orientations.
