Maintaining accurate in-service dates is important for university-wide financial reporting, budget forecasting, and cash management. PTA Manager’s Capital Project In-Service Date module (PTAC ISD) helps track capital project in-service dates through automated reminders and by allowing project managers or delegatees to enter in-service dates and update estimate in-service dates as milestones change.
During the first two months of each quarter, PTAC ISD sends automated reminders to help keep the data current.
Edit Estimated In-Service Date
Before You Start
- Ensure you have access to the SU PTA Manager Capital Distributed User privilege in Oracle Financials, along with any necessary project in-service date information.
- Review Common Oracle Browser Issues and Resolutions, if needed.
- Go to Oracle Financials
- Select Login
- Enter SUNet ID and password, if prompted
- Select SU PTA Manager Capital Distributed User
- Navigate to the PTAC In-Service module and select > (drop-down arrow) to access the menu. Then, select Projects at a Glance
The module automatically opens to the Active Projects tab, which displays the projects you are responsible for. All capital projects that are active and pending closeout will display in two sections on this tab. The top section lists all capital projects that are in the construction in progress (not yet substantially complete or in-service) phase. The bottom section lists all capital projects that are in the substantially complete phase and have an in-service date.
- Locate the project in the Construction in Progress (Not In-Service) Capital Assets (top section of the dashboard)
You can modify the estimate in-service date directly in line if this is the only edit you need to make.
- Select the pencil icon under the Edit column to open the Campus In-Service pop-up
- Review the Project #, Project Name, and TopTask
- Update the Estimate In-Service Date (left side of the pop-up) using the calendar button
- Add a comment explaining the reason for the change, particularly if the date has shifted significantly
Comments are required in certain scenarios; the module will indicate when a comment is mandatory. You can view all comments for a specific project or add a new comment by selecting the Capital Project Comments icon on the main dashboard.
- Attach supporting In-Service Doc(s), if applicable
- Select the Confirm In-Service Data button to submit the update
- Locate the project in the Construction in Progress (Not In-Service) Capital Assets (top section of the dashboard)
- Select the pencil icon under the Edit column to open the Campus In-Service pop-up
- Review the Project #, Project Name, and TopTask
- Enter the In-Service Date (right side of the pop-up) using the calendar button
- Select the In-Service Source from the drop-down selector
- Add a comment, if needed or required
Comments remain visible in the module, providing a record of why dates changed over time. You can view all comments for a specific project or add a new comment by selecting the Capital Project Comments icon on the main dashboard.
- Attach supporting In-Service Doc(s), if applicable
Supporting in-service documentation is required in all cases, unless the PM completes the PM certification.
- Select the Confirm In-Service Data button to submit the update
- Locate the project in the Substantially Complete (In-Service) Capital Assets (bottom section of the dashboard)
- Select the pencil icon under the Edit column to open the Campus In-Service pop-up
- Review the Project #, Project Name, and TopTask
- Update the In-Service Date using the calendar button
- Select the In-Service Source from the drop-down selector, if applicable
- Add a comment explaining the reason for the revision, if needed or required
Comments remain visible in the module, providing a record of why dates changed over time. You can view all comments for a specific project or add a new comment by selecting the Capital Project Comments icon on the main dashboard.

- Select the Confirm In-Service Data button to submit the update
- The estimate or in-service dates are recorded in the PTAC In-Service Date module and displayed on the dashboard for immediate visibility.
- If the change involves the estimate in-service date, the project will remain listed in the Construction in Progress (Not In-Service) Capital Assets section.
- If the change reflects the project’s transition to in-service status, it will be categorized in the Substantially Complete (In-Service) Capital Assets section.
- The Last Modified Date field on the dashboard automatically updates to reflect any changes made.
- Comments and attached documents remain saved in the system, ensuring they are accessible for tracking purposes.
- Central teams utilize both new and revised in-service dates for financial reporting, budget forecasting, and cash management.
- An automated email notification is sent to the PMs, delegatees, and project owners listed on the Form1 once a capital project is placed in-service, informing them of the change.
