Approvers for feeder journals are pre-determined for each Feeder ID. After the feeder originator submits the feeder journal, the feeder approver is notified by email.
Before You Start
- In order to be an eligible feeder approver, you must complete the iJournals Feeder Update Request Form and send it to Systems and Reporting Operations (S&RO) distribution list at @email.
- Uploads allow creation of the header and detail lines sections of the feeder entry in Excel.
- To create and upload feeder journals, refer to How to: Create and Upload Feeder Journals.
- For university policy information on feeder and allocation journals, refer to Administrative Guide Policy 3.2.3: Allocations and Offsets.
- You will receive an email communication from the feeder originator that the feeder is ready for your approval
- Verify that the communication contains the following information:
- Feeder Number
- Feeder ID
- Title
- Period
- Debit Total
- Justification
- Enter ofweb.stanford.edu in the browser
- Select Login
- As prompted, log in using SUNet ID and password
Approve
- Select Full List to view open notifications
- Select the notification checkbox(es)
- Select Open
- Select Approve to post the feeder
An FYI notification will be sent to the originator.
Reject
- Select Full List to view open notifications
- Select the notification checkbox(es)
- Select Open
- Provide a rejection reason
- Select Reject to reject the feeder
An FYI notification will be sent to the originator who will need to purge the rejected feeder and resubmit a new file if necessary.
Approval of feeders requiring specific timing for posting (PSOFT, UASRV, PYR01, PYMON, EFAO, EGFSS, EGFSM, EGFSN, and ESFS) will generate a workflow notification to Systems and Reporting Operations (S&RO) for control of posting time.

What Happens Next?
- The feeder journal is queued for nightly posting to the General Ledger.
- Feeder journal originators are responsible for monitoring their posted journals. Feeder journals must be approved by the cut-off date each month to be included in the month's activities. Refer to Topic Overview: Month-End Close and refer to Resource: Month-End-Close Deadlines.
