Stanford Travel Program

It is highly encouraged that Stanford travelers use Stanford Travel booking channels when booking flights, hotels, and rental cars for university-sponsored travel. Stanford Travel booking channels streamline the reimbursement process; offer discounts, benefits, and perks to travelers; and automatically register itineraries and any booking updates in the Travel Registry. In addition, the Stanford Travel team can provide specialized assistance as needed to travelers who book through Stanford Travel.

Book Through Stanford Travel

Stanford Travel consists of booking channels that, within them, feature over 50 travel partners, who provide airline, lodging and ground transportation booking services under negotiated rates and terms. Stanford travelers are free to choose any channel to book university-sponsored travel based on each channel's unique offerings described below.

In addition to the travel services offered exclusively through the Stanford Travel booking channels, the university offers other services that are not managed by the Stanford Travel Program. Travelers have a choice of the other travel services listed below.

Schwab Residential Center

Guests and affiliates visiting Stanford University on university-sponsored business may stay at the Schwab Residential Center, which is located across the street from Knight Management Center, near Encina Hall, Hoover Institution, Arrillaga Alumni Center, and Stanford’s athletic facilities.

Located on the Stanford Campus, a Faculty Club guest room is a lodging option for Faculty Club members or guests sponsored by members.

The only hotel owned and operated by Stanford University, Stanford Guest House welcomes guests affiliated with Stanford University, SLAC National Accelerator Laboratory and Stanford Medicine who are visiting for educational purposes.

University Ground Transportation Services 

Lyft Business

Lyft Business

Stanford travelers are permitted (but not required) to use Lyft Business for ground transportation. Department administrators who want to manage rides for Stanford travelers or visitors can set up Lyft business accounts.

Uber for Business

Stanford travelers are permitted (but not required) to use Uber for Business (U4B) for ground transportation. Department administrators who want to manage rides for Stanford travelers or visitors can set up U4B accounts.

Charter Services

University-sponsored events for small and large groups may require shuttle services or have other transportation needs. Stanford Transportation offers convenient charter services at a competitive rate to the campus community.

Through Stanford Travel, Stanford travelers and travel arrangers can book university-sponsored travel for travelers employed by Stanford, for domestic and international Stanford visitors, and for groups and multiple travelers. Stanford travelers and travel arrangers may also use a Stanford Travel booking channel to add a personal travel component to a university-sponsored trip, as long as they reimburse Stanford for the personal component, as needed.

All university-sponsored travel booked through Stanford Travel may be paid with a Travel Card or paid with a personal card and reimbursed by Stanford.
