The Upload Lines function provides a template to enable the user to add expense lines in Expense Requests, Easy Pay Transactions, and Non-PO Payments, using an Excel spreadsheet.
Copy and Paste Expense Lines from Excel
Before You Start
Before beginning a transaction, expense lines may be organized in an Excel spreadsheet template available to download in the transaction lines section of a transaction. The Upload Lines template is used to upload expense lines for transactions. By utilizing the template, you can easily generate multiple transaction lines, resulting in significant time savings when creating Expense Report transactions.
- Go to Oracle Financials
- Select Login
- Enter SUNet ID and password, if prompted
- Select SU Expense Requests
- Select Expense Requests
- Access Transaction Lines page
- In Expense Requests, select Next to go to Transaction Lines page
- Select Upload Lines above transaction lines
OR
- Select Upload Lines above transaction lines
- In Non-PO Payments or Easy Pay Transactions, select Add Line to view line
- Select Upload Lines above the line
- From within the Upload Lines page, download the Excel template by selecting Upload Lines Template from within the transaction (each template is different from templates for other transactions)
- Expense Requests Upload Lines Template, with added columns for, Airfare expense lines (Details), Lodging expense lines (Details)
- Non-PO Payments Upload Lines Template, (applicable to all Categories)
- Easy Pay Upload Lines Template, with added columns for, Foreign Travel, Airfare, Mileage
- Open downloaded Excel spreadsheet
Enter Column Data. Follow specific instructions listed in Upload Lines page.
NOTES:
- Enlarge column width as needed
- Date format must be one of the following and be the same for the entire spreadsheet:
- 14-Mar-2026
- 14-Mar-26
- 03/14/26
- *3/14/26
- Do not add a dollar sign $ to the Amount field
- Use the exact Expense Type name provided in the drop down on the spreadsheet – spelling and case must match Expense Request System
- Enter Remarks as needed (limit to 240 characters)
- Expense Types that require Details can be entered under New Headers for Details in the Excel Spreadsheets.
- Continue to add expense line data in the template until ready to upload lines to transaction
- Once the spreadsheet is complete, name it and save it to the computer
Upload Lines can only be used once per transaction so add all lines in the template before selecting Upload Lines or add any other lines manually in transaction lines
- Select Upload Lines button on the Transaction Lines page
- To upload the saved spreadsheet to the transaction:
- Select the file by clicking on Browse, then click the Load button.
- The data from the spreadsheet will be validated.
- If there are no validation failures, the Import button will be displayed. Select this button to upload the data
- If the validation fails, correct the errors in the spreadsheet and upload it again
- If the upload is successful, the transaction lines will be created under the Transaction Lines section
- Continue by completing the remaining transaction pages
Lines from the Excel Template should be added to Transaction Lines. After reviewing each line, the next steps in the transaction may be completed and the transaction submitted as usual.
