Manage Profiles in Key Travel

All faculty, staff, students, affiliates, and postdocs have a Key Travel profile. Travelers can customize their profile with travel preferences and store personal travel details. Completing the profile streamlines the booking process by automatically transferring information into reservations. Learn more in the Learn About System: Travel Booking - Key Travel.

Manage Profiles in Key Travel

Have all necessary travel documents and any travel organization membership details (as applicable) ready to update each traveler's profile (all faculty, staff, students, affiliates, and postdocs already have profiles), including:

  • Passport information and other ID details
  • TSA Pre✓, Redress, or Global Entry numbers
  • Travel preferences
  • Loyalty membership details
  • Phone number
  • Emergency contact details
  • Travel arranger’s Stanford email (SUNetID@stanford.edu)

Ensure the legal name exactly matches the traveler’s government‑issued ID. Learn more in the How To: Change a Traveler Profile Name.

  1. Go to Key Travel
  2. If you are unable to log in, submit a Get Assistance with a Travel Profile request

 

  1. Navigate to myKT
  2. Select Profile Manager
  3. Navigate to Traveller Profiles
  4. Select View/Edit
  5. Complete or update all applicable profile details
    1. Ensure the legal name in the profile exactly matches the traveler’s government‑issued ID
    2. Check the attestation box
  6. Select Save Data

  1. Navigate to myKT
  2. Select Profile Manager
  3. Navigate to Assign Profile Manager
  4. Enter the full name or Stanford email (SUNetID@stanford.edu) of the authorized booker in the Name or E-mail field
