All faculty, staff, students, affiliates, and postdocs have an Egencia profile. Travelers can customize their profile with travel preferences and store personal travel details. Completing the profile streamlines the booking process by automatically transferring information into reservations. If a travel arranger is assigned, they gain access to the traveler’s Egencia profile and can book and manage travel on the traveler’s behalf. Manage Profiles in Egencia
Before You Start
Have all necessary travel documents and any travel organization membership details (as applicable) ready to update each traveler's profile (all faculty, staff, students, affiliates, and postdocs already have profiles), including:
- Passport information and other ID details
- TSA Pre✓, Redress, or Global Entry numbers
- Travel preferences
- Loyalty membership details
- Phone number
- Emergency contact details
- Travel arranger’s Stanford email (SUNetID@stanford.edu)
Ensure the legal name exactly matches the traveler’s government‑issued ID. Learn more in the How To: Change a Traveler Profile Name.
- Go to Egencia
If you are unable to log in, submit a Get Assistance with a Travel Profile request
- Navigate to your Egencia profile
- Complete or update all applicable profile details
