Before booking travel for Stanford, travelers must ensure the legal name on travel documents exactly matches the legal name on the government‑issued ID. Learn more in the Topic Overview: Planning and Booking Travel.
Change a Traveler Profile Name
Before You Start
Before booking any travel—especially airline tickets—confirm the travel profile shows the traveler’s legal name (including any middle name) exactly as on the government‑issued ID. Special characters (for example, hyphens, apostrophes, or similar characters) are omitted on airline tickets—check how the name appears—and if it doesn’t match, update the profile or request a legal name update before booking.
Have the traveler’s government‑issued ID and any documentation of a legal name change ready before submitting a legal name change request. Learn more in the Topic Overview: Planning and Booking Travel.

If travel must be booked within 72 hours, submit a Get Assistance with a Travel Profile request so Stanford Travel can update the profile before the booking is made
Because the HR system feed can overwrite manual changes, verify the profile for every reservation and, if HR’s legal name doesn’t match the government‑issued ID, request another manual update close to travel dates.
Permanent name changes appear in the traveler’s Egencia and Key Travel profiles within 1-2 business days.
